Why Export your Data?

Exporting data allows you to work with your information outside the platform, in specialized tools and for different purposes:

Available Export Formats

Excel (.xlsx)

Ideal format for detailed analysis with formulas, charts, and pivot tables.

Best for:

  • Deep financial analysis

CSV (.csv)

Universal format compatible with any analysis software and databases.

Best for:

  • Import to other systems

How to Export your Data

Select the Report

Go to the reports module you want to export: Financial Dashboard, Sales, Products, Expenses, etc.

Apply Filters (Optional)

Configure the time period, store, categories, etc. you want to include in the export:

  • Date range (last 7 days, this month, this year, custom)
  • Specific store or all
  • Product or expense categories
  • Order status (completed, cancelled, etc.)

Click "Export"

Look for the "Export" button (usually in the upper right corner of the report) with the download icon ⬇.

Select the Format

Choose between Excel (.xlsx), CSV (.csv), or PDF (.pdf) according to your need.

Download the File

The file will download automatically to your Downloads folder. For large exports, you'll receive an email when it's ready.

Quick Tip: Filters you apply BEFORE exporting will determine what data is included. Make sure to configure them correctly.

Scheduled Export (Automatic)

In addition to manual exports, you can configure automatic exports that run periodically:

Daily Reports

Receive a daily sales summary automatically each night

Weekly Reports

Complete weekly analysis sent every Monday

Monthly Reports

Full monthly financial summary on the first day of the next month

ℹ️ Configuration: Go to Settings > Automatic Exports to schedule periodic exports.

Security and Privacy

Encrypted Data

All exports are generated with secure HTTPS connection and stored temporarily encrypted.

Controlled Access

Only users with administrator permissions can export sensitive business data.

Audit Log

All exports are logged: who exported, what data, and when.

Automatic Deletion

Exported files are deleted from the server after 7 days for security.

💡 Tips and Best Practices

  • Export regularly as backup: Download your data monthly as an external backup.
  • Use descriptive names: Rename exported files with date and description (e.g., "Sales_January_2024.xlsx").
  • Check filters before exporting: Make sure the selected period, store, and categories are correct.
  • Choose the right format: Excel for analysis, CSV to import to other systems, PDF for formal presentations.
  • Protect sensitive files: Add password to Excel files with financial data before sharing them.

Troubleshooting

File doesn't download

Check that your browser isn't blocking downloads. Review permission settings. If the report is very large (>100MB), you'll receive an email when it's ready.

File is empty or has little data

Check the applied filters. Make sure the date range includes the period you want and you haven't applied very restrictive filters.

Can't open the exported file

Make sure you have the appropriate software installed: Microsoft Excel/LibreOffice for .xlsx, any text editor for .csv, Adobe Reader for .pdf.
